Position Summary
The DTRF Operations Manager will provide administrative, event, and technical support to a small, growing team. This is an opportunity for a candidate interested in developing workflows and streamlining systems to elevate the mission of DTRF. Unique in structure, this role is internally and externally facing, not only managing the backend of the Foundation, but also running events and making connections with all stakeholders. This position reports to the DTRF Executive Director and works closely with all staff.
General Responsibilities
- Consistently show up as an externally-facing invested representative of the Foundation to multiple stakeholders – staff members, donors, patients, medical and industry professionals
- Attend and actively participate in staff meetings; stay up to date on DTRF events, programs, and talking points
- Enthusiastically supports basic and special projects that may arise in all areas of the Foundation’s work
Operations/ Administration
- Administrative tasks including scheduling meetings, creating lists, e-mailings to Foundation stakeholders
- Maintain and build out standard operating procedures
- Maintain Foundation Dropbox and Google drives
- Schedule and run Zoom technology for internal staff meetings, external meetings and virtual events including the DTRF Virtual Tumor Board
- Interface and respond timely to the public with questions about the Foundation using scripted and other communications in line with DTRF parameters; field requests internally coming from outside of the Foundation
- Build and execute workflows with the team’s capacity in mind
- Manage and troubleshoot all service subscriptions (IT, banking, marketing, password manager)
- Evaluate prospective vendors according to budget and team capacity
- Owns of all aspects of DTRF Annual Weekend and virtual events
- Assist Development and Marketing teams as needed
Qualifications/Competencies
- BA/BS or equivalent required.
- Strong literacy with Quickbooks and CRMs.
- Strong literacy in MS Office and G Suite; history of learning new technology quickly.
- Excellent verbal and written communication skills.
- Strong organizational skills/attention to detail and desire to prevent things from “falling through the cracks.”
- Desire and ability to engage with various constituents, including patients, caregivers, medical professionals, Board of Directors, volunteers, staff, and others.
- Experience running virtual, hybrid, and in-person events.
- Familiarity with project management software and messaging applications
- Lived experience with rare sarcoma is a plus.
Location and Hours
- This is a 40-hour week full-time position Monday through Friday, and possibly 1-2 events per year (including DTRF’s Annual Weekend on Sept 12/13 in Chicago, and will require travel to Chicago for up to 5 days)
- Depending on your time zone, there may be occasional “after 5pm ET” meetings to attend/manage.
- DTRF is a 100% virtual grassroots organization and all team members work remotely from anywhere in the US.
Salary and Benefits
The salary range is $50,000-60,000+, commensurate with experience.
An additional $5,000 toward obtaining your own health insurance coverage.
Time off includes:
- All Federal holidays
- 2 weeks of PTO (including one week fixed before New Year’s Day, where the Foundation is closed). Up to one week (5 days) of the flexible PTO can be rolled over from year to year
- 10 days of sick leave per calendar year (no rollover year to year)
